GENERAL

FUNCTIONALITY DESCRIPTION
EXPORT/IMPORT SETTINGS
Export existing configuration settings or import previously configured settings. See the EXPORTING AND IMPORTING SETTINGS section of this guide
DOWNLOAD LOGS
Download a zip file containing all the Drawings2CM log files.
WHITELIST ADMIN ACCESS
This field allows you to whitelist Content Manager users who are not an Administrator or Records managers to allow them access to Drawings2CM's admin section
DATASET ID
The ID of the Content Manager dataset that Drawings2CM is connecting to.
WORKGROUP SERVER NAME
The workgroup server name of your Content Manager workgroup server that Drawings2CM is connecting to Changes to this field will require an App Pool restart.
WORKGROUP SERVER NAME The workgroup server URL of your Content Manager workgroup server that Drawings2CM is connecting to Changes to this field will require an App Pool restart.
TEMP PATH image.png
The temp directory for Drawings2CM, please include the trailing slash, for example: C:\FYB Add-Ins\Drawings2CM. This directory will also contain the DocUControl log files. Changes to this field will require an App Pool restart.

EXPORTING AND IMPORTING SETTINGS

You can either export the current configuration settings or import existing settings using the buttons below.

EXPORT

To export Drawings2CM's current settings, click the Export Settings button. This will automatically download the zip file containing the Drawings2CM configuration files. These files can be imported back into Drawings2CM when required.

IMPORT

To import existing settings, follow the steps below.

Warning

Only import JSON files that were previously taken from the Drawings2CM's App_Data folder or exported from Drawings2CM.

  1. Click the Import Settings button

  2. Select the settings files and click on the Open button

  3. A success message will appear once the settings files have been updated and the admin page will reload shortly after to update the settings

APPEARANCE

FUNCTIONALITY DESCRIPTION
TITLE Allows the administrator to set the title for the solution.
The title appears on the main landing page of the application above the search bar
SUBTITLE Allows the administrator to set the subtitle for the solution.
The subtitle appears on the main landing page of the application below the search bar.
This is an optional field
PRIMARY BACKGROUND COLOUR Controls the colour of the header and footers for the application.
PRIMARY FONT COLOUR Controls the colour of the font in the main navigation header
MAIN AND SUBTITLE FONT COLOUR Controls the colours of the Title and Subtitle on the landing page
LOGO Sets the logo for the application
BACKGROUND Allows the administrator to set the background image for the application.

EMAIL SETTINGS

FUNCTIONALITY DESCRIPTION
MAIL HOST The mail host that is used to send all email notifications.
MAIL PORT The mail port allows for email notifications to be sent.
SEND FROM The email address that all email notifications are sent from.
LICENSE EXPIRY CONTACTS Provide the email addresses of the users that shall receive an email notification when the Drawings2CM license is due to expire. Multiple contacts can be added by adding a ';' between each contact. (e.g. name@company.com.au; secondname@company.com.au).
STATISTICS CONTACTS Provide the email addresses of the users that shall receive an email of the monthly usage statistics for Drawings2CM
SEND STATS EMAIL Instantly send the monthly usage statistics for Drawings2CM to the email addresses listed in the STATISTICS CONTACTS

MISC SETTINGS

This is for specifying the Content Manager Record Type used by the Drawings2CM solution. It is also where the Advanced Search and Metadata settings are set up. Advanced Search and Metadata settings cannot be set up until a valid Content Manager record type has been chosen.

FUNCTIONALITY DESCRIPTION
Set PDF Colour to black and white Set PDF Colour to black and white by default when viewing Drawings
GOOGLE MAPS API KEY The Google Maps API key required for the GPS Search functionality. Click Here to create a Google Maps API key.
RECORD TYPE This dropdown allows the user to choose the Content Manager record type that the Drawings2CM will utilise. This record type must be selected prior to any other settings being configured.
The record type is a central component of the solution, all documents displayed on the web interface are of this record type.
All metadata from this record type can be displayed on the interface.
REVIEW PROCESS See the UPDATE, UPLOAD AND REVIEW PROCESS section for more information
UPDATE PROCESS See the UPDATE AND REVIEW PROCESS section for more information
UPLOAD PROCESS See the UPDATE AND REVIEW PROCESS section for more information
TOTAL RESULTS PER PAGE The number of Drawings displayed per page in the Search Results Page

FUNCTIONALITY DESCRIPTION
RECORD METADATA This list view allows the administrator to determine what metadata they would like displayed when:
Viewing a document in the browser
Displaying search results
Search Result Filter options.
If the Show In Results Page option is enabled, the metadata field will be displayed in the filters section and the search results table on the Search Results page. If it's not enabled, the metadata will only be shown on the Document View page.
DISPLAYED METADATA PROPERTIES This list view allows the administrator to determine the order of the chosen record metadata.
Items can be reordered by clicking and dragging on the rows displayed in the table.
Use the Show in Results Table checkbox to determine what metadata is displayed in the Search Results
ADVANCED SEARCH This list view allows the Administrator to select which metadata fields they want to be a part of the Advanced Search dialogue.

UPDATE, UPLOAD AND REVIEW PROCESS

ACTION
Drawing reviews/updates/uploads will use a Content Manager action to complete the review.

Workflow
Drawing reviews/updates/uploads will use a Content Manager workflow to complete the review.

PROJECT SETTINGS

The Project Settings page is used to configure the Record Types/Folder structure used when creating a new Project Folder Structure in both Content Manager and Teams.

FUNCTIONALITY DESCRIPTION
CONTAINER TYPE The Record Type of the Parent Container
CHOOSE SUBFOLDER RECORD TYPE Enable if a different Record Type is to be used when generating the Sub Containers. If Disabled, Sub Containers will be created using the Record Type selected in the CONTAINER TYPE field
SUBFOLDER TYPE The Record Type to be used when creating Sub Containers. This field is only enabled if the CHOOSE SUBFOLDER RECORD TYPE option is enabled
PROJECT TYPES Used for configuring the names of the Sub Containers/Folders

CONFIGURING PROJECT TYPES

To create a new Project Type:

  1. Click on the New Project button

  2. Supply a name for the Project Type

  3. Supply a name of the Sub Folder and click on the Add button

  4. Repeat step 3 to add more Sub Folders

  6. Click on the Save button

DISABLE FEATURES

Features shown throughout Drawings2Cm can be disabled. Disabling a feature will hide the button from the user interface.
